Ink Stamps
Remember to apply your stamp/seal on all documents that include notarial wording.
Your ink stamp must:
- be 100% legible (no smudging or double-stamping)
- be complete (all info is readable and visible including the edge)
- remain out of the 1 inch margin
- remain off of any pre-typed info
If your stamped impression is illegible, you may re-stamp on the original page (following the guidelines listed above), or even better, attach a separate notary page.
Embossed Seals
Lenders are using the latest technology to scan notarized paperwork and review the docs via scanned images. Some states require the notary to use an embosser only, and since the embossed seal is not visible on scanned docs we highly recommend the notary shade over the embossed seal after applying the impression to the notary page. The shaded seal is then visible when the document is scanned, which will save the notary any hassle later on.
We’ve heard from our vendors that the two best ways to shade are:
- Lightly pencil over the seal, or
- Rub a piece of carbon paper over the seal.
